Topic #1:  Address budget shortage

The issue is this...  The Patrol Leaders Conference has proposed an annual budget of $6,165, which is $1,965 short of the income the troop anticipates earning for the year ($4,200).   

Proposed annual budget $6,165 (from Patrol Leaders Conference): 

Meal costs for outings $100 per outing X 9 $900
Camporee $90 X 2 $180
Latimer (age 14+) $75 per person X 8 $600
Skiing $800 X 1 $800
Summer Camp $165 per scout X 19 $3,135
Storage box for canoe trailer $100           X 1 $100
Court of Honor (1st) $100 X 1 $100
Court of Honor (2nd, 3rd, 4th $50 X 3 $150
Eagle Court of Honor $100 X 1 $100
Troop Flag $50 X 1 $50
American Flag $50 X 1 $50
     
Total proposed Expenses   $6,165

                                                                                     

Anticipated income:    Fairground work       $4,200

Budget comes up short by:                           $1,965

 

Possible solutions to address Budget shortfall ($1,965)

  1. Implement dues collection ($100 annual per scout X19)
  2. Do additional fundraising activities
    1. Some fundraising ideas
    2. If so, should we establish Individual Scout accounts
  3. 100% HAI scholarship and Campership participation (would reduce Boxwell fees by about $2,000)
  4. Increase fair contract amount from $4,200 to $6,165
  5. Scale back activities (reduce expenses proposed above)
  6. Ignore shortfall for now and use funds from bank account (postpone problem until next year)
    1. Current checking account balance $1,429

  1. Submit unit money earning application
  2. Review contract from last year & negotiate new
  3. Build work schedule (clean-up, chairs, programs)
  4. Fair main events (from master event schedules below)
    1. Saturday 12th – Concert 8:00 PM
    2. Sunday 13th –  Quarter horse races 1:30 PM
    3. Monday 14th -  Cooking, 4H, & Beauty contests
    4. Tuesday 15th -  Harness Racing 2:00 & 7:00 PM
    5. Wednesday 16th -  Harness Racing 2:00 / Demolition 7:00
    6. Thursday 17th -  Harness Racing 7:00
    7. Friday 18th -   Harness Racing 2:00 / Tractor Pull 7:00
    8. Saturday 19th -  Harness Racing 1:00 / Mud Racing 7:00
  5. Obtain a new chair transportation method
